Use customers' data inputs

Due to different requirements, the access to Datashare Hub features is different for you and your customers. After you, as a Payroll Service Provider (PSP), has shared a category requesting inputs, the customers can view the requested category and share data from their Inputs page. 

After customers share inputs, you, as PSP, can view the data on your Inputs page. The PSPs Inputs page in the greytHR Admin portal helps you to view all the categories, whether locked or open. The open cards allow customers to add more inputs and edit the existing ones. On the other hand, customers cannot add any further inputs to the locked cards.


To view the Inputs page, click DataShare Hub > Inputs.

Each card displays the category name, number of files shared, and cut-off date. You can perform the following action on the inputs page:

  1. Send a reminder to customers.

  2. Accept/reject the uploaded files.

  3. Lock/unlock the created category.

  4. Download data inputs.

Send a reminder to customers

You can set reminders for the customers to upload the inputs. To send the reminders, perform the following actions:

  1. On the Inputs page, select the required card that is open and click Send Reminder. A pop-up appears and the Send to field auto-populates.

  2. In the Write Remarks description box, enter the valid remarks.

  3. Click Send to send a reminder to the customers.

Accept/Reject the uploaded files

After customers upload their files in the required category, you now have the option to review them. To accept/reject the uploaded files, perform the following actions:

  1. On the Inputs page, select the required card and click View More. The card opens and displays Assigned Users, Cut-off Date, File Uploaded, and Upload Status. You can view the list of uploaded files under the Last Updated section.

  2. In the table, next, to Accept/Reject column, select the Accept/Reject icon. The Accept/Reject pop-up appears and Send To field auto-populates.

  3. In the Write Remarks description box, enter the valid remark for accepting or rejecting the file. 

  4. Click Send to accept/reject the selected file.

Lock/Unlock the created category

After customers upload the inputs and click Confirm, the category is locked. A locked category can mean that the customer has confirmed that there is no input available or that the files they have uploaded are the complete inputs. 

Moreover, even you, as their PSP provider, can also automatically or manually lock a category to ensure no more files are added after the cut-off date.
To lock/unlock the created categories manually, perform the following actions:

  1. On the Inputs page, select the required card and click View More. The card opens and displays Assigned Users, Cut-off Date, File Uploaded, and Upload Status. You can also view the list of uploaded files that are accepted or rejected under the Last Updated section.

  2. Click the Lock/Unlock button to lock/unlock the created category.
    Note: Unlocking the category enables customers to upload new inputs to the existing category.

Note: The category gets locked after the cut-off date is due. To learn how to set the automatic category lock, click here.

Download data inputs 

To download the inputs provided by your customers, perform the following actions:

  1. On the Inputs page, select the required locked card and click View More. The card opens and displays Assigned Users, Cut-off Date, File Uploaded, and Upload Status.

  2. Under the Last Updated section, in the table, under the File column, click the Download icon to download the required file.
    Note: You can click the Download All button to download all the documents uploaded by a customer. The Download All option is available only on locked cards.

After receiving the data and performing the appropriate actions, you, as PSP, can share reports as data output with your customers. Customers can then download the reports shared by you.
