Employee information setup

When setting up employee information in an "Add Employee" form, you typically encounter fields and sections where you can input various details about the employee. Accurate and comprehensive employee information setup is crucial for payroll accuracy, compliance, and efficient administration. It helps ensure that employees are compensated correctly, tax obligations are met, and benefits and leave entitlements are managed accurately.

The Employee Options page in the greytHR Admin portal allows you to modify the settings as per your requirements. You can view the status of your employees. The page enables you to configure the following fields:ย 

  • Probation Period

  • Confirmed Employee Status

  • Employee Retirement Age in Years

  • Password Policy for File Attachments

  • Password Protected Attachments

  • Mandatory fields for Add Employeeย 

To view the Employee Options page, click the Settings icon > System settings > Employee > Employee Options.

You can perform the following actions on the Employee Options page:

  1. Configure employee status.

  2. Configure passwords for attachments.

  3. Customize mandatory fields in add employee form.

  4. Setup rehirecheck feature.

Configure employee status

To configure the employee status, perform the following actions:

  1. On the Employee Options page, in the Probation Period text box, enter the number of days you want new employees to serve on probation based on your company policies.ย 

  2. From the Confirmed Employee Status dropdown list, you can define the status of the new employee after finishing probation.ย 

  3. From the Employee Retirement Age in Years text box, select the required retirement age for your employees.

  4. Select the Cannot add employees joining in future dates checkbox to deny the option of adding the employees joining in the future. Clear the checkbox to allow adding the employees with future joining dates.

  5. Click Save to save the configurations.

Configure passwords for attachments

To configure passwords for attachments, perform the following actions:

  1. On the Employee Options page, in the Password policy for File Attachments field, select the option(s) from the column and click the โžกย  arrow to move it to the next column.ย ย 

  2. From the Password Protected Attachments field, select the files which must be password protected.
    Note: To select more than one type of attachment, click ctrl + attachments simultaneously.

  3. Click Save to configure the passwords for attachments.
    Note:ย  You can use only the options available in the Password policy for File Attachments column to password-protect the attachments.

Customize mandatory fields in add employee form

To customize the mandatory fields in add employee form, perform the following actions:

  1. On the Employee Options page, from the Mandatory fields for Add Employee field, select the options which you want to configure as mandatory in the Add Employee form.

  2. Click the โžก arrow to move it to the next column.

  3. Click Save to customize the mandatory fields in the add employee form.

Setup rehirecheck feature

To setup the rehirecheck featureerform the following actions:

The Enable Rehire Check in Add Employee checkbox is enabled by default. If the option is disabled, you will not be prompted to proceed further with the customization.

  1. On the Employee Options page, from the Select criteria for Rehire Check field, select the required mandatory fields that you want to validate to add an employee.

  2. From the Select fields to copy after Rehire Check field, select the required details of the employee that you want to copy to the Basic Information section.
    Note: You cannot view Step 5 and 6 if the Enable Rehire Check in Add Employee checkbox is disabled.ย 

  3. Click Save to update the changes.ย 

Note: Deselect the Enable Rehire Check in Add Employee checkbox to disable the RehireCheck feature in the Add and manage new and rehired employees page.
