Disable Employee Self Service (ESS)

In situations such as an employee’s termination, resignation, long-term absence, or when immediate access restriction is required for compliance or security reasons, HR teams need to promptly control system access.

The Disable Employee Access option in greytHR allows admins to restrict an employee’s login and ESS access without deleting their records, ensuring employee data remains available for payroll processing, statutory compliance, and audit purposes.

Disable employee self service portal

To disable an employee's ESS portal access, from the greytHR Admin portal, on the Home page, in the Search Actions search box, enter the keyword Disable Portal Access. The Disable Portal Access page opens. 

  1. In the select an employee search box, enter the name/number of the employee for whom you want to disable the ESS portal access.

  2. Click the Disable button to disable the ESS portal access. A success message appears.

Frequently Asked Questions

When should an admin disable an employee’s ESS portal access?

Admins can disable ESS access when an employee is terminated, has resigned, is on long-term leave, or when access needs to be restricted immediately due to compliance, security, or administrative reasons.

Does disabling ESS access delete the employee’s data?

No. Disabling ESS access only restricts the employee from logging in. All employee records remain intact for payroll processing, statutory compliance, reporting, and audit purposes.

What happens when an employee’s ESS access is disabled?

The employee will no longer be able to log in to the greytHR ESS portal or mobile app. However, HR admins can continue to view and manage the employee’s data in the Admin portal.

Can ESS access be disabled without terminating the employee?

Yes. ESS access can be disabled independently of termination. This is useful for scenarios such as extended leave, temporary suspension, or internal policy requirements.

Can ESS access be re-enabled later?

Yes. Admins can re-enable ESS access at any time if the employee needs access restored.

Who can disable an employee’s ESS portal access?

Only users with appropriate admin permissions in the greytHR Admin portal can disable or enable ESS portal access.
