360° Feedback is a comprehensive employee evaluation system where feedback is gathered from various individuals, including peers, subordinates, and managers, in addition to self-assessment. This feedback system is important for employees as it provides a clearer understanding of how they are perceived across different departments or teams within the organization, enabling personal and professional growth.
greytHR’s 360° Feedback provides organizations with a well-rounded view of employee performance by incorporating diverse perspectives, reducing bias, and identifying skill gaps. As an admin, you can set up and manage the feedback cycle while defining the roles of the nominator and the evaluator.
To create the 360° feedback cycle, from the greytHR Admin portal, go to Performance Management > 360° Feedback > Create Cycle.
Let us now set up all the stages of the 360° Feedback cycle.
To begin setting up the feedback cycle, add the cycle details and attach guidelines for employees or evaluators.
Enter the Cycle Name.
Select the Performance Period.
Note: The Duration has to be within the Performance Period.
Add a description.
Attaching guidelines for employees or evaluators is optional.
Click Next.
Info: The Review Cycle and 360° Feedback can be conducted simultaneously.
From the Employee Filter dropdown, select the employees to be enrolled in the feedback cycle. To create a new employee filter, you can click the + icon.

The Until option allows you to include only employees who joined on or before the specified date.
The From and To option allows you to specify employees by date of joining, including only those who joined within the selected date range.
The Joining Month option allows you to filter employees based on their joining month.
You can also exclude those who joined after a specific date using the Select Date to Exclude field.
In 360° Feedback, as an admin, you need to define the roles of the nominator and evaluator.
The nominator selects evaluators, such as peers, managers, or subordinates, to provide feedback.
The evaluator gives ratings-based feedback to help the nominator identify strengths and areas for improvement.
Enter the total number of evaluators in the Number of evaluator(s) box.
You can select the pre-defined checkboxes to assign the employee and the manager as evaluators if applicable.
Select the checkboxes for Employee/Manager/Admin as applicable, to allow them to nominate. Also, specify the number of evaluators they can nominate.
Note:
If the employee and manager are selected as evaluators, the remaining number of evaluators needs to be allocated accordingly.
You can select nominators based on organisational preferences; it is not mandatory to choose all.
A minimum of one persona must be selected.
Select the Evaluator Group from the dropdown. You can create a new evaluator group(s) by clicking the + icon.
Note: You can assign a different Evaluator Group to each nominator.

An evaluator group is a set of designated individuals responsible for providing feedback.
A nominator can only nominate employees who are part of the evaluator group.
Evaluator group can be configured based on the organisational preference.
To do so, from the greytHR Admin portal go to Workflow > Setup > Workflow Reviewer Types.
Enter the Title.
Select the Assignment Type as All Employees/Category Based Employee Group.
For Category Based Employee Groups, you can configure the group to include employees based on specific criteria.
After assigning the evaluators, set a time frame for them to complete the nomination and evaluation process.
Once the window opens, nominators and evaluators need to complete their assigned actions.
Note:
The Nomination Duration and Evaluation Duration cannot overlap.
Once the evaluation window opens, there are no dependencies, and any evaluator can complete their evaluation independently.
Once the timelines are set, the next step is to define the rating scale. Here, you need to configure the feedback scoring.
Choose a scoring range, which can be either on 5 point scale or on 10 point scale.
Next, select how you want the final rating to show:
A whole number
With one decimal place (like 3.5)
With two decimal places (like 3.55)
You can evaluate an employee's overall performance using categories such as behavioral skills, leadership abilities, productivity, and communication. The employee’s performance is assessed based on their scores in each of these areas.
To create the category:
Click + Add Category.
Choose the Response Type. You can enable the Include N/A (Not Applicable) option, allowing evaluators to skip a question if they are unsure about a specific aspect of the employee's performance.
For example, if an evaluator hasn’t observed an employee’s leadership skills, they can choose N/A (Not Applicable) instead of giving a rating.
Type the question and click Next.
Note:
Multiple categories can be added.
Each category can include multiple questions.
You can configure whether a question is mandatory by clicking on the Mandatory checkbox.
You can define which roles have access to specific content in the published 360° Feedback Report by selecting whether the Report View should be marked as Visible/Not Visible for each role.
Note: You can click the Names of the evaluators will be anonymous on the Published Report checkbox to keep the evaluators' names confidential.
The Summary provides an overview of the configured feedback cycle, allowing you to review and ensure the setup is accurate. You can edit the summary by clicking the ➡ icon in each section.
After reviewing, click Save > Confirm. A success message appears and the configured goal plan moves to the Draft tab.
The final step is to activate the feedback cycle to get it started.
After creating the feedback cycle, you must activate it from the Draft tab. To do so, from the greytHR Admin portal, go to Performance Management > 360° Feedback.
Click the Draft tab and click on the dropdown arrow.
Click Activate.
Note: Once you Activate the cycle, you cannot edit/delete it.
You can clone the 360° Feedback cycle to create an exact copy of an existing cycle, making it easy to duplicate configurations, data, or settings efficiently.
How to clone the 360° Feedback cycle
Under the Active/Draft tab, select the required feedback cycle and click the drop-down arrow, then select Clone. While cloning a feedback cycle, you need to add certain details such as
Enter the Cycle Name.
You need to set the Performance Period separately, as it is not cloned.
Additionally, define the Nomination and Evaluation duration.
After cloning the feedback cycle, you must activate it from the Draft tab. To do so, from the greytHR Admin portal, go to Performance Management > 360° Feedback.
Click the Draft tab and click on the dropdown arrow.
Click Activate.
Info: You can clone existing cycles and customize the employee list or timelines to save time.
