Payroll admins need to manually export Journal Vouchers (JVs) from greytHR and upload them into Zoho Books to keep payroll records accurate and up to date in the accounting system. This process is time-consuming, error-prone, and lacks real-time updates, making payroll accounting less accurate and more difficult to manage.
With the integration of greytHR Payroll and Zoho Books via Unite Marketplace, payroll Journal Vouchers (JVs) can be directly synced from greytHR to Zoho Books.
Zoho Books is an online accounting tool that helps organisations manage their finances easily. It lets you track expenses, create invoices and journal vouchers, automate tasks, and stay updated on payments—all while following accounting rules.
The integration of Zoho Books with greytHR is available via the greytHR Unite Marketplace.
Go to Unite Marketplace > Connectors > search for Zoho Books among the available apps. Click Enable, fill in the details, and accept the terms and conditions to activate it.
Note: This feature is only available for users with Unite access, so make sure the right team members, like payroll admins, have the right permissions. There’s no additional cost—this integration is free for eligible users.
You can set up the Zoho Books integration in two simple steps.
Connect your Zoho account.
Create rules for syncing payroll data.
On the Zoho Books page, click Open > Settings > + Add Connection.
You’ll be redirected to Zoho Books—log in using your Zoho account credentials.
After logging in, note your Organisation ID from your Zoho Books account.
Then, go to Settings > Organisation > Select Organisation and choose the same Organisation ID to complete the setup.
On the Zoho Books page, click Open > Rules > + Add Rule. Enter the Rule Name and other details as required.
Note: Connection Name will be automatically selected based on your existing connections.
You can filter the data using Department, Location, or other custom fields based on your needs.
It is mandatory to filter the data by Department and Location, which are automatically fetched from greytHR.
Additionally, you can add mandatory custom fields such as Designation or Status using Zoho’s Manage Custom Fields feature.
The next step is to map the salary components that will reflect from the payroll.
Choose the salary components from the dropdown list and match with the corresponding Zoho component (marked as debit or credit).
You need to ensure that the total debit and credit values are equal—otherwise, the rule won’t work.
Click Save Rule to apply.
Note: You can create multiple rules for different departments, locations, or other criteria.
Once done, you're all set to use Zoho Books, allowing you to automatically sync payroll Journal Vouchers (JVs).
On the Zoho Books page, click on Sync Data to Zoho Books. Select the rule you created earlier, choose the payroll year and month, and click Run.
Review the data, select a journal date (you can choose a backdated expense date if needed), and click Publish.
The entries will be visible directly in your Zoho Books account under Manual Journals.
Note: This feature is available only to users with Unite access. You must ensure the right team members, like payroll admins, have the necessary permissions.
