View employees’ auto-granted overtime and comp off records

Overtime means working extra hours beyond the regular work schedule, often with additional pay. Compensatory off (compensatory time off) is when employees get time off instead of extra pay for working those extra hours.

Applying for overtime or compensatory time off, especially in manufacturing and retail industries can be challenging for employees. They often face delays as managers must approve overtime before payroll, making the process feel tedious and slow. 

To address these challenges, greytHR offers the Auto-Grant OT/Comp-off feature. The feature automatically grants the extra hours worked as overtime or compensatory off for eligible employees based on the configured overtime policy. This reduces the burden on admins, managers, and employees and ensures all extra hours are accurately recorded. 

As an admin, you must configure the Grant Mode in the Overtime Policy page to streamline the employees’ compensatory off and overtime records.

The Auto-Grant OT/Comp-off page on the greytHR Admin portal displays the employees' auto-granted compensatory off and overtime records based on the organization's configured overtime policy. You can filter the auto grant compensatory off and overtime records for a particular attendance period or date range. 

You can view the following information on the Auto-Grant OT/Comp-off page:

  1. Employees’ auto-granted compensatory off records

  2. Employees' auto-granted overtime records

View employees’ auto-granted compensatory off records

To view the employees’ auto-granted compensatory off records, perform the following actions:

  1. From the greytHR Admin portal, navigate to Leave > Information > Auto-Grant OT/Comp-off. The Auto-Grant OT/Comp-off page opens.

  2. From the Select Auto Grant Type options, select Comp-Off.

  3. From the Attendance Period dropdown list, select the required attendance period.

  4. From the Select Date Range dropdown calendar, select the required date. Under the Current Applications tab, the table displays the information based on the selection such as the Employee Details, From and To dates, Leave Type, Leave Credit, Posted On, and Status (Granted).

Note

  • You can delete the selected employees' compensatory off records by clicking the Delete icon available at the bottom of the page.

  • The granted compensatory off records move to the History tab.

View employees’ auto-granted overtime records

To view the employees’ auto-granted overtime records, perform the following actions:

  1. From the greytHR Admin portal, navigate to Leave > Information > Auto-Grant OT/Comp-off. The Auto-Grant OT/Comp-off page opens.

  2. From the Select Auto Grant Type options, select Overtime.

  3. From the Attendance Period dropdown list, select the required attendance period.

  4. From the Select Date Range dropdown calendar, select the required date. Under the Current Applications tab, the table displays the information based on the selection such as the Employee Details, Attendance Date, Processed On, Eligible Ot Hours (Hours an employee works), Applied Ot Hours (Based on Overtime Policy, the system applies for the overtime hours), and Status (Considered/Not Considered).

Note

  • You can delete a selected employee’s overtime records by clicking the Delete icon available at the bottom of the page.

  • The granted overtime records moves to the History tab.

  • The admin changes the overtime auto grant status from the OT Finalization page. 

Following are the use cases that affect the employees' auto-granted overtime records according to the Status of the overtime records:

  • Use Case 1:
    When an employee’s overtime (OT) record is marked as Considered by the admin, and the eligible overtime hours are later updated in the Overtime Policy, the system highlights the change on the Auto-Grant OT/Comp-off page.
    To resolve this:

    • Select the record and click Resolve. The old record moves to the History tab with the status Resolved

    • The updated record with the new eligible overtime hours will remain in the Current Applications tab.

    • The Applied OT hours remain unchanged.

  • Use Case 2:
    When an employee’s overtime (OT) is Not Considered by the admin, and there is a change in the eligible overtime hours, the system highlights the change on the Auto-Grant OT/Comp-off page.
    To resolve this:

    • Select the record and click Resolve. The old record moves to the History tab with the status Considered.

    • The updated record will remain in the Current Applications tab.

  • Use Case 3:
    If an employee’s overtime (OT) record is deleted by the admin/manager for a day, a new record will only be added if there is a change in the eligible overtime hours.
