Talkback Support on greytHR Mobile App

Accessibility gets a major boost! Visually impaired users can now navigate key workflows like login, logout, sign-in, sign-out, and apply leave with TalkBack support on the mobile app. This enhancement ensures an inclusive user experience, empowering all employees to interact with the app confidently and independently.

Custom Reference Number Format in Offer Letter in greytHR Recruit

Recruitment Admins can now configure custom reference number formats for offer letters at a regional level. The system allows defining a prefix, starting number, and suffix in the Offer Template settings, generating region-specific formats (e.g., UAE: HRJO252-UAE, KSA: HRJO058-KSA). Reference numbers are also displayed in candidate reports for better tracking.

Expense Module (Beta Version)

The new Expense Module is designed to offer a flexible, policy-driven approach to managing employee reimbursements. It includes configurable rule engine support for policy enforcement, expense categories and a type-based query builder for custom logic, batch configuration to manage grouped expense processing, and a fully configurable workflow engine for multi-level approvals. The module is also accessible via mobile, enabling on-the-go claim submission and tracking.

Employee Creation Workflow

The Employee Creation Workflow is a configurable, multi-level (up to 3 levels) employee creation approval system that enables HR admins to initiate and manage the employee addition process with greater accuracy, accountability, and compliance. It replaces manual approvals with a structured flow, ensuring employee data is verified before being recorded.

Holiday Calendar Revamp in greytHR Mobile App

The Holiday Calendar gets a fresh new look! Employees will now experience a revamped, intuitive interface that makes it easier to view and plan around holidays.

Logout Button Transitions in greytHR Mobile app

Users will now see a loading indicator and a disabled logout button once they initiate the logout process. This enhancement provides clear feedback that their action is being handled, reducing confusion and making the logout flow more seamless and user-friendly.

Iterative Formula Agent - Indonesia Payroll

The Iterative Formula Agent is a new payroll engine enhancement that automates complex iterative calculations, such as income tax gross-up. It eliminates manual intervention by repeatedly running calculations until the target value is achieved, ensuring highly accurate results.

Form III – Annual Return Under the Minimum Wages (Central) Rules

We’ve added new statutory reports to support Tamil Nadu region-specific compliance, helping payroll admins meet Indian labour laws with ease.

Display Category-wise Currency in Payroll-Related Pages

This feature lets payroll teams view salary data in the correct currency by employee category, improving clarity and supporting multi-currency management.

Other Features

Basic Employee Information Excel Importer - Emergency Contact Details

Admin can now bulk import employees’ emergency contact details using the Basic Employee Information Excel importer. New columns (e.g., Emergency contact’s - name, mobile, relationship, address, email) are added to the importer and mapped to the respective fields in the system.

Hide Display of Current Position in ESS

Admin can now hide the “Current Position” section in ESS via user role-based configuration. This prevents sensitive or outdated job titles from being displayed to employees while retaining data in audit logs and reports. The feature supports data minimization, reduces confusion, and provides flexibility to align with organizational policies, without affecting other ESS functions like Resign and View Timeline.

Warning Message for Duplicate Mobile Number and Email Address

The system now displays a visual warning “Mobile number already linked to another employee” and “Email already linked to another employee” when an entered email address or mobile number is already linked to another employee. This applies to Add Employee, Employee Profile, and Excel Importer scenarios. The warning is informational only, and administrators can still proceed with saving the details.

Clearer Context on the Goal Listing Page

When managers or admins navigate to an employee’s goal listing from the control panel or ESS, it's not always obvious whose goals they're viewing. The current breadcrumb doesn't offer enough clarity and can add visual clutter.

We’ve updated the top section of the goal listing page to show key details upfront:

  • Employee’s full name and employee ID

  • Goal Plan name

  • Performance Period

This makes it easy to confirm you’re viewing the right employee and the right goal plan — whether you're an admin or part of the reporting hierarchy. Plus, we’ve removed the breadcrumb to keep the view clean and focused.

Updated Access Controls for PMS Module

Previously, users with the generic “Admin” role had default access to PMS settings, which sometimes led to confusion or accidental changes by users not responsible for performance management. To streamline access and improve control, we’ve made a key update:

  • Default PMS access has been removed from the “Admin” role.

  • Default read/write access is now granted to the new “PMS Admin” role.

This ensures only designated users can manage PMS features like Goal Plans, Reviews, and 360° Feedback — including actions like creating, editing, activating, or pausing.

Searchable Drop-downs in Reviews & Goal Plans

PMS admins had to scroll through long lists to find the right Performance Period or Employee Filter while configuring Reviews or Goal Plans, making the setup slow and tedious

We’ve made both the Performance Period and Employee Filter drop-downs searchable. Now, admins can simply type keywords (e.g., “Bangalore” to get “All Bangalore Employees”) and instantly narrow down results.

Pending Goal Approvals in MIS Report

We’ve added two new columns to the goals report:

  • Pending for Approval → Number of goals awaiting approval.

  • Pending With → Approver’s name and employee number.

Now, HR admins can quickly identify bottlenecks and reach out to the right approvers, making goal management smoother and more efficient.

Enhanced Selfie-Based Attendance System on Mobile

We are upgrading the selfie-based attendance system on mobile with advanced anti-spoofing measures to prevent misuse through pre-recorded videos, printed photos, or similar attempts. These enhancements strengthen system reliability, ensuring greater accuracy in attendance swipes and building higher trust among our customers.

View Option for PDF and Images within the Mobile app

The mobile app now supports in-app viewing of uploaded attachments and documents in PDF or image formats. This eliminates the need to download files or search for external viewers—everything can now be accessed seamlessly within the app.

Talkback Enhancements

As an addition to the already released Talkback compatibility, we are also now extending the Talkback compatibility for features like Mark team attendance and payslips.

Ability to Reject Swipes on the mobile app

The employee swipes can now be rejected via the mobile app. This enables managers and designated reviewers to reject swipes on the go.

Translations on the mobile app

For the first time on the greytHR mobile app, we’re introducing the much-awaited Bahasa translation feature. Users can now switch the app language from English to Bahasa, enabling all static content to be displayed in Bahasa for a more localized experience.

Cooling Period in Recruit

Recruiters can now restrict previously rejected candidates from reapplying within a defined cooling-off period. Once rejected, candidates are tagged with a cooling-off status and blocked from applying again (via Career Page, Referral, or Agency Portal) until the period ends. Recruiters also see visual indicators on candidate profiles and can override restrictions with justification. This feature helps maintain a cleaner hiring pipeline and reduces repetitive, irrelevant applications.

Integrate with Background Verification apps in Unite – Phase 1

Recruiters can now seamlessly initiate background verification (BGV) from within the Offer section of greytHR Recruit. A new “Background Verification” CTA directs users to the vendor’s dashboard (if a BGV app is enabled) or to the Unite Marketplace to explore vendors. This Phase 1 rollout reduces workflow fragmentation, ensures smoother document handling, and encourages in-platform actions without leaving greytHR.

Indonesian Income Tax Agent

The Indonesia Income Tax Agent is a new payroll engine enhancement that automates complex income tax calculations of Indonesia Payroll. It eliminates manual intervention by simplifying the configuration steps and ensuring highly accurate results.

Payroll Anomalies Report

Payroll Anomalies Report will help Payroll and HR Administrators to proactively identify employees with missing or incomplete critical data.

This report highlights gaps such as statutory eligibility flags (PF, ESI, LWF), unlinked IDs (PAN, Aadhaar, UAN), missing workflow inputs (IT declarations, FBP, reimbursements), and incomplete banking or organizational details.

By resolving these anomalies in advance, you can ensure error-free payroll processing, statutory compliance, and smoother downstream workflows.

Reviewer Override for Permission Hours

Reviewers and Admins will be able to override hours or sessions in employee permission requests before approval. This enhancement will eliminate unnecessary rejections due to incorrect time entries, ensure accurate and validated data, and maintain full transparency. Approved values will be clearly displayed on review cards and attendance pages, with override access controlled via workflow settings and admin user roles.

Bulk Permission Import for Admins via Excel

Admins will be able to apply attendance permissions in bulk using a dedicated Excel Importer under the Attendance module. This enhancement will support both hour-wise and session-wise entries, validate overlaps, and provide a clear success/error summary—making it easier to manage multiple requests like Late Entry, WFH, and On Duty in one go.

Custom Attendance Status Labels for Work on Non-Working Days

Enables client-specific labels (e.g., “Worked on Holiday” or “Worked on Weekly Off”) when employees work on Non-Working days. This ensures attendance reports, screens, and exports clearly distinguish actual work from scheduled offs, improving shift visibility, compliance tracking, and communication with managers and clients.

Shift Change Workflow

The Shift Change Workflow allows employees to request a change to their assigned shift and enables managers/admins to review, approve, or reject these requests. This ensures flexibility for employees while maintaining compliance with company shift policies and business requirements.

Salary Revision Workflow

The new Salary Revision Workflow in greytHR brings structure, visibility, and control to salary changes. By connecting employee requests and PMS recommendations directly to payroll, it eliminates manual errors and ensures a smooth, policy-driven process.

  • Initiate & review: Salary revision requests can be raised and tracked by employees, managers, and admins.

  • Seamless PMS link: Performance-based salary recommendations follow the same structured approval flow.

  • Payroll-ready: Approved changes sync directly with payroll for accuracy and timely processing.

Beacon AI-Powered Global Search

The Search is designed as a centralised access point for greytHR users to quickly discover, navigate, and act upon a wide range of functions within the application. Instead of navigating through multiple menus and modules, users can perform actions, search reports, manage tasks, and even process approvals directly from a unified search bar.

The search enhances discoverability, efficiency, and user adoption of greytHR features while minimising time spent searching within the application.

Expenses on ESS

A seamless way to claim and manage expenses - right from the ESS.

With our new Expense Claims feature inside ESS, both employees and managers get intuitive tools to manage expense requests smoothly across web and mobile.

What Employees Can Do:

  • Create and submit multiple expense items in a single request

  • Save drafts, upload multiple bills, and revisit incomplete claims

  • Drag and drop attachments into requests with real-time file previews

  • View policy-based entitlements while claiming (such as per day, month, year)

What Managers Can Do:

  • Approve or reject items after reviewing the complete claim details

  • Override bill amounts where needed before final approval

  • See attachment previews within the request form

  • Browse all processed claims in read-only mode with full history

Engineering team updates:

ALB & WAF Enablement in GCP Cluster

Our GCP-based environments fronted by Cloud HTTP(S) Load Balancers (an equivalent to AWS ALB) paired with the Google Cloud Armor WAF. This change will allow us to:

  • Terminate TLS at the LB

  • Enforce WAF rules (e.g., OWASP CRS) before traffic hits our services

  • Offload SSL processing for better performance

Upcoming Features:

  1. Kafka Migration to Managed Service
    We’re in the planning phase of migrating our on-prem Kafka service to a managed Kafka solution. This shift will reduce operational overhead, improve scalability, and ensure higher availability. More details and a migration timeline will be shared soon — stay tuned!

We have initiated an outreach activity to create awareness about the Alumni portal feature and increase its adoption.

We have published knowledge base articles covering TalkBack on mobile, Custom reference number for Offer Letters, and Employee Creation Workflow.
