Manage multiple companies’ information

Various organizations have their entity companies in different locations. Managing multiple companies' information typically refers to the process of overseeing and maintaining the details and data associated with multiple companies within a system or application. This involves organizing, updating, and tracking information related to each company separately to ensure accurate and efficient management of their profiles and activities.

The Multi Company Info page in the greytHR Admin portal allows you to add and manage your entity companies that work with other clients. The page also allows you to activate or deactivate your entity company.

To view the Multi Company Info page, click the Settings icon > System Settings > General > Multi Company Info.

You can view the following tabs on the page:

  1. Company Info - The tab allows you to add your company details.

  2. IT Options - The tab allows you to manage the options for Income Tax.

  3. Challan details - The tab allows you to add the challan details.

You can perform the following actions on the Multi Company Info page:

  1. Add entity company details.

  2. Manage Income Tax option.

  3. Add the company challan details.

  4. Activate/deactivate your entity company.

⚠️ We recommend you to contact the greytHR support team before making any changes in settings.

Add entity company details

To add your entity company details, perform the following actions:

  1. On the Multi Company Info page, from the dropdown list available above the tabs, select the required company.

  2. Click the Company Info tab. A form appears.

  3. Under the Company Contact Details section, in Company Logo, click Upload Logo. The dialog box appears.

  4. Browse to the folder in your system, select the file, and click Open to upload the file.

  5. In the Company Name for Reports text box, enter the company name which you want on the report.

  6. In the Address Line 1 and Address Line 2 text boxes, enter the address of your entity company.

  7. In the City text box, enter the city name where the company is located.

  8. From the Country dropdown list, select the country where the company is located.

  9. From the State dropdown list, select the state where the entity company is located.

  10. In the Email Id text box, enter the email address.

  11. In the Mobile No, Phone No 1, Phone No 2, Fax No, and Ext text boxes, enter the mobile number, phone number, fax number, and extension.

  12. Under the Other Details section, in the Company PF No text box, enter the PF number.

  13. In the PF Suffix text box, enter the suffix letter for PF.

  14. In the Certificate No and PTO Circle No text boxes, enter the certificate number and circle number.

  15. In the Company PIN Code text box, enter the pin code of the company.

  16. In the Employer Account No and LIN No text boxes, enter the account number of the employer and LIN number.

  17. In the PF Prefix, Establishment, Form5 Person, Company ESI No, Operating Unit, Location Code, and Set of Books ID text boxes, enter the required details.

  18. Click Save to add your entity company details.

Manage Income Tax options

To manage the Income Tax options, perform the following actions:

  1. On the Multi Company Info page, from the dropdown list available above the tabs, select the required company.

  2. Under the IT Options tab, from the Tax Year dropdown list, select the required year.

  3. From the Section dropdown list, select the eTDS/Form 16/All option as per your requirements. The list of items appears under the Item Name column in the table.

  4. In the table, under the Value column, double-click the row next to the required item and enter the required value.

  5. Click Save to manage the Income Tax options.

Add the company challan details

To add the company challan details, perform the following actions:

  1. On the Multi Company Info page, from the dropdown list available above the tabs, select your company.

  2. From the Challan Category dropdown list, select the required category.

  3. In the Details text box, enter the challan details.

  4. From the Dated dropdown calendar, select the required date.

  5. In the Amount spin box, enter or select the challan amount.

  6. In the Bank Name text box, enter the bank name.

  7. Click Save to add the company challan details.

Activate/deactivate the entity company

To activate/deactivate the entity company, perform the following actions:

  1. On the Multi Company Info page, from the dropdown list available above the tabs, select your company.

  2. Click the Activate/De-Activate button to activate or deactivate the selected company.
