Here's what we've been working on lately

Organizational Filters for Workflow Listing

Previously, the Workflow Listing page displayed all requests in a single list with limited filtering capabilities, making it difficult to quickly locate relevant requests.

This enhancement introduces multi-select organizational filters (such as Location, Department, Designation, Business Unit, and other configured categories) to help users narrow down workflow requests more efficiently.

Key improvements include:

  • Multi-select filtering across organizational categories.

  • Ability to combine multiple filters for precise results.

  • Real-time refresh of the workflow list based on selected filters.

  • Clear visibility of applied filters with quick reset functionality.

  • Export to Excel respects the applied filters, exporting only the filtered data.

  • Improved usability with appropriate empty states and searchable filter controls.

Custom Fields Revamp & Reporting Support

Custom Fields in greytHR Recruit have been significantly enhanced with a redesigned data model and reporting support, making Recruit a true single source of truth for recruitment data.

The enhancement introduces three distinct Custom Field typesβ€”Job Fields, Application Fields, and Candidate Fieldsβ€”ensuring information is stored at the correct level instead of duplicating candidate data across multiple applications. Candidate information can now persist across all applications, while application-specific and job-specific data remain independent.

In addition, Custom Fields are now fully supported in Recruit Reports, allowing organizations to include custom fields as report columns, apply custom field filters, and export custom field data without relying on external spreadsheets. Existing Candidate Custom Fields are automatically migrated to Application Fields with no data loss, and all field configurations are now managed from a centralized Custom Fields page.

  • Eliminates duplicate entry of candidate information across multiple job applications.

  • Establishes a clear separation between Job, Application, and Candidate data.

  • Creates a persistent candidate profile shared across all applications.

  • Enables reporting and analytics using custom field data.

  • Eliminates dependence on Excel and Google Sheets for recruitment reporting.

  • Makes Recruit the single source of truth for recruitment data.

  • Simplifies administration with a centralized Custom Fields configuration page.

  • Supports a scalable and future-ready recruitment data model.

Key Highlights:

  • Introduces three dedicated Custom Field types:

    • Job Fields – Information specific to a job opening.

    • Application Fields – Information specific to a candidate's application.

    • Candidate Fields – Information shared across all applications for a candidate.

  • Dedicated Application Fields and Candidate Fields sections are available on the Candidate Details page.

  • Candidate Field values automatically remain consistent across all applications for the same candidate.

  • Existing Candidate Custom Fields are automatically migrated to Application Fields without any data loss.

  • Job Field configuration has been moved from Job Setup to the centralized Custom Fields page.

  • A new centralized Custom Fields in settings allows administrators to configure Job, Application, and Candidate fields from a single location.

  • Custom Fields are now supported in:

    • Jobs Report

    • Pipeline Report

    • Candidates Report

  • Supports adding Custom Fields as report columns.

  • Supports filtering reports using Custom Field values.

  • Supports exporting Custom Field data along with Recruit reports.

  • No manual migration or administrator action is required.

Loan Perquisite exemption threshold revision as per the New IT Rules - 2026

The employer loan perquisite exemption threshold has been updated from β‚Ή20,000 β†’ β‚Ή2,00,000 in line with Rule 15(5) of IT Rules 2026.

The changes include:

  • Threshold is evaluated on the aggregate outstanding loan balance across all active loans per employee, not per loan

  • If aggregate ≀ β‚Ή2L β†’ perquisite = β‚Ή0

  • If aggregate > β‚Ή2L β†’ perquisite computed on the full balance, not just the excess

  • Re-evaluated every month based on maximum outstanding monthly balance

  • Adjustments for April and May 2026 calculations will be handled through a one time script execution for all applicable accounts

Accounts processing payroll are automatically compliant with IT Rules 2026 β€” no manual overrides needed. Employees with small employer loans (≀ β‚Ή2L aggregate) will no longer see erroneous perquisite additions in their TDS.

Payroll Repository Sort Order

Admins can now reorder components in the Payroll Repository directly from a new "Sort Order" page - no tickets, no developer dependency. Child components can be rearranged within a parent or moved across parents using simple drag-and-drop. Non-default parent components can also be reordered. A confirmation summary shows exactly what changed before saving.

Introducing Timesheets

Track work effortlessly from anywhere with Timesheets on Mobile. Employees can log, review, and submit their daily or weekly work hours, while managers can review, approve, reject, or forward timesheets, all from the greytHR mobile app, enabling faster approvals and timely payroll processing.

Custom Fields in Expenses

We are introducing a generic Custom Fields platform, starting with the Expense module, to help organizations capture additional information based on their business requirements. Administrators can configure custom fields and associate them with expense policies, enabling employees to provide the required details during expense submission.

Other Features

Published Review Documents Now Available for Download

Once a Performance Document is published by the admin for a review, employees and assessors can now instantly download the document as a PDF and save it for future reference. This makes it easier to access and retain completed performance reviews whenever needed.

Search & Filters Across Performance Management Features

Admins can now use Search & Filters across Performance Period, Goal Plans, Reviews, 360Β° Feedback, and Calibration to quickly find exactly what you’re looking for. This enhancement puts an end to the seemingly endless scrolling into the far distances of your records.

Apply single or multi-criteria filters to narrow down results with ease; and once applied, your selections will remain persistent as you navigate across tabs within that workflow (for example, moving between Active, History, and Draft views), so you don’t have to reapply filters every time.

Bulk Update for Goals & Milestones via Excel Import

Admins and managers can now update existing Goals and Milestones in bulk using the existing Goals Excel upload template; making progress updates faster and easier without manual updates.

The upload supports bulk updates for Start Value, Current Value, End Value, Goal Due Date, and Milestone Due Date. Updates are applied only to matched Goal and Milestone records, helping maintain data accuracy and preventing unintended changes.

This enhancement makes it easier for organizations where admins and managers centrally manage goal administration, reducing manual effort and streamlining ongoing goal maintenance.

Pending Performance Review Assessment Reminder Emails for Admins

PMS admins will now receive email reminders for pending assessments before and on stage due dates, providing better visibility into incomplete reviews and enabling timely follow-ups.

Key highlights:

  1. Emails are sent to the configured Final Assessor(s) for each review.

  2. Notifications are triggered 3 days before and on the due date.

  3. Each email covers one review cycle and one stage only (excluding the Final Assessor stage).

  4. Only employees with pending statuses (Not Started, In Progress, Deadline Missed) are included.

  5. Reopened reviews and updated timelines are automatically considered based on the latest due dates.

This enhancement helps admins proactively track pending assessments across review stages and improve timely completion of performance cycles.

Enhanced UID Number Validation for ME Region

Previously, the UID Number field supported a 9 digits -15 digits length, preventing organizations from capturing valid UAE UID numbers that vary across visa documents.

This enhancement introduces flexible UID Number validation, allowing numeric values between 6 and 15 digits while maintaining data integrity.

Key Improvements

  • Supports UID Numbers with a length of 6 to 15 digits.

  • Removes the existing fixed-length validation.

  • Allows numeric values only.

  • Prevents alphabets, special characters, and spaces.

  • Applies the same validation across employee profile updates and Excel imports.

  • Ensures existing employee records remain unaffected after deployment.

JPEG support for employee bulk photo upload

Previously, the Employee Bulk Photo Upload feature did not support .jpeg files, requiring administrators to convert images before uploading.

This enhancement adds support for the .jpeg file format, enabling seamless bulk photo uploads while retaining all existing validations and security checks.

Key Improvements

  • Adds support for .jpeg files alongside existing supported image formats.

  • Successfully maps uploaded JPEG images to the respective employee records.

  • Retains existing file size limits and security validations.

  • Continues to validate and reject unsupported or corrupted files.

Dynamic Company Branding in Employee Email Notifications

Previously, employee notification emails displayed static or incorrect company information, causing employees in multi-company environments to receive communications with the wrong company branding.

This enhancement ensures that all employee notification emails dynamically resolve company information based on the employee's assigned company, while preserving the existing behavior for organizations where the multi-company feature is disabled.

Key Improvements

  • Dynamically displays the employee's assigned company across all employee notification emails.

  • Automatically reflects any future company changes in subsequent emails.

  • Retains the existing email behaviour when the multi-company feature is disabled.

Audit Logging for LOV Updates via Position History

Previously, changes made to List of Values (LOV) Descriptions through Position History were not captured in the Audit Log, resulting in incomplete change tracking.

This enhancement ensures that all LOV Description updates, irrespective of whether they are made through System Settings or Position History, are recorded in a unified Audit Log with the source of the change.

Key Improvements

  • Captures LOV Description changes made through Position History in the Audit Log.

  • Displays the source of each update (System Settings or Position History).

  • Preserves the existing audit logging behavior for System Settings changes.

Β Golden Visa Exception for Duplicate IBAN Validation

Previously, the system enforced IBAN uniqueness across all employee records, preventing valid payroll scenarios where employees with a Golden Visa receive salaries from multiple companies into the same bank account.

This enhancement introduces a Golden Visa-specific exception to the duplicate IBAN validation, allowing the same IBAN to be used for eligible employees while preserving all existing IBAN format and mandatory field validations.

Key Improvements

  • Allows duplicate IBANs only for employees with a Golden Visa.

  • Applies the validation consistently across UI, bulk imports, APIs, and record updates.

  • Retains all existing IBAN format, mandatory field, and other validation rules for all employees.

Β Date Range Validation for Qualification, Course & Employment Records

Previously, the system allowed users to save qualification, course, and employment records with a 'To Date' earlier than the 'From Date', resulting in inconsistent employee history.

This enhancement introduces date range validation to ensure logical date sequences across onboarding, employee profile, ESS, and bulk upload processes.

Key Improvements

  • Validates that 'To Date' is greater than or equal to 'From Date'.

  • Prevents saving records with invalid date ranges and displays an appropriate validation message.

  • Applies consistently across Employee Onboarding, Employee Profile (Admin Portal), ESS, and bulk uploads.

Conditional Signature Rendering Based on Approval Type

Previously, the ${signatorySign} placeholder rendered the configured signature image irrespective of the approval state, preventing differentiation between image-based and digital approvals.

This enhancement ensures that the ${signatorySign} placeholder dynamically renders the appropriate signature only after approval, based on the approval type selected.

Key Improvements

  • Renders the signature only after a valid approval is completed.

  • Displays either the configured signature image or the digital signature certificate based on the approval type.

  • Supports both single and dual signatory approval flows while maintaining backward compatibility for non-digital signature documents.

Β Leave Grant Based on Employee Attendance Cycles

Grants now use each employee's actual attendance cycle (e.g., 26th–25th) instead of the calendar month, fixing entitlement errors for non-calendar cycle employees. A new "Grant Leave based on: Attendance Cycle / Calendar Month" setting (default: Calendar Month) is added under Leave β†’ Leave Rules, with audit reports now showing the "Cycle Period Used."

Last know indicator on map - GPS

The GPS Live Tracking now displays a last known location indicator, making it easier to identify the user's live GPS position at a glance. This enhancement improves map readability and provides better visibility of the user's current location during active tracking.

New input of β€˜Relationship with landlord’ in HRA

Employees can now specify their relationship with the landlord while declaring House Rent, making it easier to provide the required information for tax declarations.

Hide mobile sign in Option When Mobile Sign in is disabled in Attendance Scheme

The mobile app will now display the Sign-In option only for employees whose attendance scheme supports mobile sign-in. Managers will continue to have access to Mark Team Attendance and Mark Attendance on Behalf, ensuring uninterrupted team attendance management.

Trip Based Expenses

Employees can now group all trip expenses β€” flights, hotels, meals β€” under a single trip record, using the same submission flow as today. Managers approve with full trip context and consolidated spend visible. Finance gets trip-wise reports without manual aggregation.

Admins can now process off-cycle payments β€” bonuses, corrections, missed inputs β€” outside the regular payroll cycle, without disrupting the month-end run. A single guided workspace takes them from adding inputs to verify and lock, with full context on what's going into the payout and why.

Engineering Team Updates

What's New:

Consolidating Service Coordination on etcd

As part of our ongoing platform simplification efforts, we have decommissioning ZooKeeper and migrated the remaining workloads to etcd. Both systems currently serve similar coordination and configuration management purposes, and maintaining two overlapping technologies adds unnecessary operational complexity.

By standardizing on etcd, we have reduce the number of distributed systems we operate, streamline maintenance and upgrades, simplify troubleshooting, and improve platform consistency across teams. This consolidation represents another step toward a leaner, more manageable infrastructure with fewer moving parts and lower operational overhead.

Strengthened security with GCP Managed Load Balancer and WAF

We have migrated our load balancing setup from the custom HAProxy-based ingress to the GCP Managed Load Balancer. As part of this migration, we have also enabled Web Application Firewall protection, further strengthening the security posture of our clusters. This change is currently applied to the NGA, ME, and Singapore clusters.

As part of our ongoing efforts to strengthen platform security and standardize our load balancing infrastructure, we will be migrating the Scorpion cluster, hosted under the GCP India account, to GCP Application Load Balancer with Web Application Firewall protection.

Upcoming SMS service migration to mCarbon

We will be migrating our SMS services from Netcore to mCarbon as part of our ongoing cost optimization initiatives. This migration is expected to reduce SMS costs by approximately 50% while maintaining reliable message delivery for our users.
