Check interviewer’s availability for interview

As an HR admin/recruiter, you can automate the interviewer’s availability to take up an interview. With the Save and schedule later option, you can send proposed schedules to the interviewers and check their availability. 

To check the interviewer’s availability for an interview, perform the following actions:

  1. From the greytHR Recruit portal, navigate to the Candidates tab > select a candidate > on the right-hand side of the page, select the Jobs tab > click available on the job card. You can also navigate to the Jobs tab > Candidates > click the required job card.

  2. From the Candidate Status dropdown list under the Interview section, select the required option. The Schedule Interview button appears.

  3. Click Schedule Interview. The Schedule Interview pop-up appears displaying the interview and candidate’s name.

  4. From the Select Duration dropdown list, select the duration of the interview.

  5. In the Add interviewers search box, search and select the interviewers/

  6. From the Select interview slot dropdown calendar, select the interview slot.

  7. From the Location dropdown list, select the location to host the interview.

  8. From the Timezone dropdown list, select the candidate’s timezone.

  9. From the Video interview dropdown list, set up a video interview. The video link is sent to the interviewer and interviewee through their invites. 

  10. In the Notes for interviewer text box, add brief notes for the interviewer.

  11. From the Competencies dropdown list, select the qualities to judge the candidate.

  12. Click Save and schedule later. The Interview timings have been updated. Would you like to send an availability request to the interviewers? pop-up appears.
    Note: The interviewer receives an email requesting availability for the chosen slot of the interview. The email also provides a link for the interviewer to respond to their confirmation of the interview. 

  13. Click Send availability request if you want to check the interviewers' availability.
    Note: You can also click Don’t Send if you do not want to send an email notification to check the interviewer’s availability. Such interviews are listed on the Attending this Interview? section on the Overview page of the recruiter and also on the Interview tab on the Candidate Profile page.

Schedule a Zoom interview

Zoom is a cloud-based video conferencing tool that helps create and manage video meetings. With Zoom integration, recruiters can automatically generate and share Zoom URLs with candidates and the interviewing panel. This eliminates the need for manual intervention.

To schedule a Zoom interview, you must perform the following steps:

  1. Activate Zoom integration.

  2. Schedule a Zoom interview.

  3. Remove Zoom authorization

Activate Zoom Integration

Only admins and recruiters can enable the Zoom integration. To activate the Zoom integration, perform the following actions:

  1. From the greytHR Recruit portal, navigate to Settings > Company > Integrations

  2. Under the Video Conference section, toggle the Zoom button to On.

  3. Navigate to My Profile.

  4. Click Connect Zoom.

  5. Enter the Zoom login credentials to activate the Zoom integration.

Schedule a Zoom interview

To schedule a Zoom interview, perform the following actions:

  1. From the greytHR Recruit portal, navigate to Settings > My Profile. The My Profile page opens.

  2. Fill in all the details such as First Name, Last Name, Email, Company, User Role, Timezone and Email Signature.

  3. Click Connect Zoom.

Remove Zoom authorization

  1. From the greytHR Recruit portal, navigate to Settings.

  2. Under My Profile, User Sync Zoom Account section, click Connected to disconnect your Zoom account authorization.
