Schedule and manage interviews

An interview is a formal conversation to gather information from a candidate. Interviews help to assess the suitability and qualifications of a candidate for a role or opportunity.

You can schedule an interview for a candidate by changing the candidate’s status to Interview.

Following are the actions related to scheduling an interview:

  1. Schedule an interview for a candidate.

  2. Schedule interviews in bulk.

  3. Edit or reschedule an interview.

  4. Cancel an interview.

Schedule an interview for a candidate

You can schedule an interview only after setting up the scorecard. To schedule an interview, perform the following actions:

  1. From the greytHR Admin portal, navigate to greytHR Recruit > Candidates. The Candidates page opens.

  2. Select a candidate and click the Jobs tab.

  3. Click the → icon available on the job card.
    Note: You can also navigate to the Jobs tab > Candidates > click the required job card.

  4. From the Candidate Status dropdown list under the Interview section, select the required option. The Schedule Interview button appears.
    Note: The Schedule Interview button does not appear if you schedule the interview using a different navigation.

  5. Click Schedule Interview. The Schedule Interview pop-up appears displaying the interview and candidate’s name.

  6. From the Select Duration dropdown list, select the duration of the interview.

  7. In the Add interviewers search box, search and select any employees as interviewer.

  8. From the Select interview slot dropdown calendar, select the interview slot.

  9. From the Location dropdown list, select the location to host the interview.

  10. From the Timezone dropdown list, select the candidate’s timezone.

  11. From the Video interview dropdown list, set up a video interview. The video link is sent to the interviewer and interviewee through their invites. 

  12. In the Notes for interviewer text box, add brief notes for the interviewer.
    Note: The Competencies list fetches the qualities to judge a candidate from the scorecard.

  13. Click Schedule now to schedule the interview.
    Note: You can also click Save and schedule later to schedule the interview later.

Schedule interviews in bulk

To schedule interviews in bulk, perform the following actions:

  1. From the greytHR Admin portal, navigate to greytHR Recruit > Jobs. The Jobs page opens.

  2. The job cards displays. Click the required job card.

  3. Select the required candidates using the checkboxes. The page at the bottom displays the Schedule Interview option.

  4. From the Candidate Status dropdown list, select the required option.

  5. From the Change the status dropdown list, select the required status. The status changes to Schedule Interview.

  6. Click Schedule Interview. The Schedule Interview pop-up appears displaying the interview and candidate’s name.

  7. From the Select Duration dropdown list, select the duration of the interview.

  8. In the Add interviewers search box, search and select the interviewers/

  9. From the Select interview slot dropdown calendar, select the interview slot.

  10. From the Location dropdown list, select the location to host the interview.

  11. From the Timezone dropdown list, select the candidate’s timezone.

  12. From the Video interview dropdown list, set up a video interview. The video link is sent to the interviewer and interviewee through their invites. 

  13. In the Notes for interviewer text box, add brief notes for the interviewer.

  14. From the Competencies dropdown list, select the qualities to judge the candidate.

  15. Click the Add Attachment button to add any attachments. 

  16. Click Schedule now to schedule the interview.
    Note: You can also click Save and schedule later to schedule the interview later.

Edit/Reschedule an interview

To edit/reschedule an interview, perform the following actions:

  1. From the greytHR Admin portal, navigate to greytHR Recruit > Jobs. The Jobs page opens.

  2. Click the required job card. A page opens. 

  3. Click the required candidate’s name.

  4. Select the Interviews tab. The tab displays the scheduled interviews.

  5. Click the Edit icon available on the card. The Schedule Interview pop-up opens.

  6. From the Select Duration dropdown list, select the duration of the interview.

  7. In the Add interviewers search box, search and select the interviewers.

  8. From the Select interview slot dropdown calendar, select the interview slot.

  9. From the Location dropdown list, select the location to host the interview.

  10. From the Timezone dropdown list, select the candidate’s timezone.

  11. From the Video interview dropdown list, set up a video interview. The video link is sent to the interviewer and interviewee through their invites. 

  12. In the Notes for interviewer text box, add brief notes for the interviewer.

  13. From the Competencies dropdown list, select the qualities to judge the candidate.

  14. Click the Add Attachment button to add any attachments. 

  15. Click Re-Schedule now to reschedule the interview. The Would you like to notify candidate for this interview? pop-up appears.

  16. Click Send Invite. 

Cancel a scheduled interview

The Cancel Interview button appears only if interview feedback is not given. To cancel an interview, perform the following actions:

  1. From the greytHR Admin portal, navigate to greytHR Recruit > Jobs. The Jobs page opens.

  2. Click the required job card. A page opens. 

  3. Click the required candidate’s name.

  4. Select the Interviews tab. The tab displays the scheduled interviews.

  5. Click the Kebab icon available on the interview card.

  6. Select Cancel Interview if you want to cancel the interview. The Cancel Interview pop-up appears displaying the interview details.

  7. Click Notify candidate about cancelation checkbox if you want to notify the candidate.

  8. Click Cancel Interview. The status changes to Cancelled.

Note: 

  • You cannot cancel interviews for which feedbacks are given. 

  • You can also export the interview details as PDF by clicking Export as PDF.
