Adding/updating an employee's finance-related information is an essential step that helps employers and employees manage their financial and benefit-related information more efficiently and accurately. The step ensures timely and accurate salary payments, manages employee benefits, and maintains compliance with legal regulations related to employee benefits.
The Bank/PF/ESI page in the greytHR Admin portal helps you add/edit your employees' bank, PF, and ESI details. The page displays various sections such as Bank Account, ESI Account, PF Account, and Labour Welfare Fund.
To view the Bank/PF/ESI page, navigate to Employee > Information > Bank/PF/ESI.
You can perform the following actions on the Bank/PF/ESI page:
Add/edit bank account details.
Add/edit ESI account details.
Add/edit PF account details.
Enable LWF for an employee.
To add/edit an employee's bank account details, perform the following actions:
From the greytHR Admin portal, navigate to Employee > Information > Bank/PF/ESI.
On the Bank/PF/ESI page, from the Search Employee search box, enter the employee number or name for whom you want to add/edit the information.Β
In the Bank Account section, click the Edit icon to modify the bank account details.
From the Bank Name dropdown list, select the required bank name.
From the Bank Branch dropdown list, select the relevant branch of the selected bank.
Note: If you cannot find your bank name and branch, click the Edit icon against the Bank Name and Bank Branch dropdown lists.
In the Bank Account No text box, enter the bank account number.
In the IFSC Code text box, enter the relevant IFSC code of the bank.
From the Account Type dropdown list, select the required bank account type.
From the Payment Type dropdown list, select the required payment type.
In the Name As Per Bank Records text box, enter the employee's name as per their bank records.
Note: You can enter the IBAN details if your employee owns an international bank account.
Click Save to modify the employee's bank account details.
To add/edit an employee's ESI account details, perform the following actions:
From the greytHR Admin portal, navigate to Employee > Information > Bank/PF/ESI.
On the Bank/PF/ESI page, from the Search Employee search box, enter the employee number or name for whom you want to add/edit the information.
In the ESI Account section, click the Edit icon to modify the ESI account details.
Select the Employee is covered under ESI checkbox to enter the ESI number.
In the ESI Number text box, enter the ESI number.
Click Save to modify the employee's ESI account details.
To add/edit an employee's PF account details, perform the following actions:
From the greytHR Admin portal, navigate to Employee > Information > Bank/PF/ESI.
On the Bank/PF/ESI page, from the Search Employee search box, enter the employee number or name for whom you want to add/edit the information.Β
In the PF Account section, click the Edit icon to modify the PF account details.
Note: To edit the PF account details of an employee, select the Employee is covered under PF using the checkbox.
In the UAN text box, enter the Universal Account Number of the employee.
From the PF Join Date dropdown calendar, select the required date.
Note: You can select the Document Type if the specific KYC document is verified in the employee profile.
Click Save to modify the employee's PF account details.
To enable the LWF for an employee, perform the following actions:
From the greytHR Admin portal, navigate to Employee > Information > Bank/PF/ESI.
On the Bank/PF/ESI page, from the Search Employee search box, enter the employee number or name for whom you want to enable the LWF.Β
In the Labour Welfare Fund section, click the Edit icon. The section expands and displays Employee is covered under LWF option
Select the Employee is covered under LWF option check box.
Click Save to enable the LWF for an employee.
