The employee information overview acts as a snapshot of employees' key details. The summary helps to understand the employee trend in your organization. You can use the overview to build a positive work culture by staying on top of employees' confirmations and joining anniversaries.
The Overview page in the greytHR Admin portal guides you through an overview of your organization's day-to-day activities. You can view the following information as individual cards:
Month-wise headcount of employees.
Helpdesk status for 3 months.
Login status of employees.
Number of letters generated by employees.
Employees' upcoming birthdays for a week.
Confirmation status of employees.
Joining anniversary of employees.
To view the Overview page, hover over the 9 dots and select Employee. The Overview page opens. Watch the video to learn more about the Employee Overview page.
You can perform the following actions on the Overview page:
Invite employees to use the ESS mobile app.
Add details of a new employee.
Add details of a resigned employee.
To invite employees to use the ESS mobile application, from the greytHR Admin portal, hover over the 9 dots and select Employee. The Overview page opens.
On the Overview page, on the Mobile App Users card, click Invite More. A list of employees appears.
From the Employee and Category dropdown lists, select the required options to customize the list of employees.Β
Select the checkbox against the required employees from the list.
From the General dropdown list, choose the type of invite you want to send. A preview of the invite message appears.
Click Invite to send the invite to use the mobile application.
To add details of a new employee, from the greytHR Admin portal, hover over the 9 dots and select Employee. The Overview page opens.
On the Overview page, on the New Joiners for Last 1 Month card, click the Add button. The form appears.
In the Employee Name text box, enter the employee name.
In the Employee Number text box, enter the employee ID.
From the Date Of Joining dropdown calendar, select the relevant date.
From the Location dropdown list, select the relevant location.
In the Email Id text box, enter the employeeβs email address.
Click Save to add the details. The onboarding process starts, and the employee receives a welcome email with the link to set the password.
To add details of a resigned employee, from the greytHR Admin portal, hover over the 9 dots and select Employee. The Overview page opens.
On the Overview page, on the Resigned Employees for Last 1 Month card, click the Add button. The form appears.
From the select an employee search box, enter the employee number or name for whom you want to add the information.
Click the v arrow on the Resignation Details section to enter the relevant information.
From the Resignation Submitted On dropdown calendar, select the date the employee applied for resignation.
From the Reason For Leaving dropdown list, select the employeeβs reason for leaving the organization.
In the Notice Period text box, enter the employeeβs notice period.
From the Tentative Leaving Date dropdown calendar, select the required date.
In the Remarks text box, enter the remarks, if any.
Click the v arrow on the Exit Details section to enter the relevant information.
From the Interview Date dropdown calendar, select the relevant date.
In the Notes text box, enter the notes, if any.
From the Leaving Date dropdown calendar, enter the relevant date.
From the Settled On dropdown calendar, select the date on which the full and final settlement is complete.
Select the Employee has left the organization checkbox if the employee has left the organization.
Select the Notice Served checkbox if the employee has completed serving the notice period.
Select the Fit to be rehired checkbox if you would like to rehire the employee in the future.
Click Save to add the details.
Note:
The Exit Details section is updated after the employee leaves the organization.
You can also update the resignation details of the employees on the Separation page.

The Employee Overview page provides a snapshot of key employee-related metrics. It offers quick insights into trends such as headcount, confirmations, birthdays, anniversaries, login behavior, and more, helping you stay engaged with your workforce and make informed decisions.
To view the Employee Overview page, simply hover over the 9 dots in the greytHR Admin portal and select Employee. The Overview page will open directly.
The Overview page in the greytHR Admin portal displays various types of information presented as individual cards, including:

Login status of employees.

Yes, you can invite employees to use the ESS mobile app directly from the Overview page. On the Mobile App Users card, click Invite More. You can then filter the list of employees, select the desired ones, choose the type of invite, and send it.
To add a new employee's details:
From the Overview page, locate the New Joiners for Last 1 Month card.
Click the Add button.
Fill in the employee's name, employee number, date of joining, location, and email ID.
Click Save. This action initiates the onboarding process and sends a welcome email to the employee.
The employee is added to your greytHR database, and the onboarding process begins. They receive a welcome email with a link to set their password and access the ESS portal.
You can manage resigned employee details from the Overview page.
On the Overview page, find the Resigned Employees for Last 1 Month card.
Click the Add button.
Search for and select the employee.
Expand Resignation Details. Enter the resignation submission date, reason for leaving, notice period, and tentative leaving date.
Expand Exit Details and fill in the details, and click Save.
As an admin, you need to fill in the Exit details like Interview Date, Leaving Date, and Settlement Date should be filled in after the employeeΒ
Yes. Use the Fit to be rehired checkbox in the Exit Details section while recording resignation information.
Yes. The page shows confirmation statuses and joining anniversaries, helping you stay updated and support a culture of recognition and timely engagement.
The Helpdesk card summarizes ticket activity for the past 3 months, helping you monitor and manage employee support queries efficiently.
As of now, the cards on the Overview page are predefined by greytHR and cannot be customized. However, they are designed to reflect the most relevant and actionable HR insights.
If employees are already using the ESS mobile app or if their contact details (like email or mobile number) are not updated, they may not appear in the invite list.
No. The Overview page offers a shortcut to perform these tasks quickly. You can also add new/resigned employees from the Employee Master or Separation pages as needed.
