View employees' information at a glance

The employee information overview acts as a snapshot of employees' key details. The summary helps to understand the employee trend in your organization. You can use the overview to build positive work culture by staying on top of employees' confirmation and joining anniversaries.

The Overview page in the greytHR Admin portal guides you through an overview of your organization's day-to-day activities. You can view the following information as individual cards:

  • Month wise headcount of employees.

  • Helpdesk status of 3 months.

  • Login status of employees.

  • Number of letters generated by employees.

  • Employees' upcoming birthdays for a week.

  • Confirmation status of employees.

  • Joining anniversary of employees.

You can perform the following actions on the Overview page:

  1. Invite employees to use the ESS mobile app.

  2. Add details of a new employee.

  3. Add details of a resigned employee.

To view the Overview page, click Employeeย >ย Mainย >ย Overview.

Invite employees to use the ESS mobile app

To invite employees to use ESS mobile application, perform the following actions:

  1. On the Overview page, on the Mobile App Users card, click Invite More. A list of employees appears.

  2. From the Employee, and Category dropdown lists select the required options to customize the list of employees.ย 

  3. Select the checkbox against the required employees from the list.

  4. From the General dropdown list, choose the type of invite you want to send. A preview of the invite message appears.

  5. Click Invite to send the invite to use the mobile application.

Add details of a new employee

To add details of a new employee, perform the following actions:

  1. On the Overview page, on the New Joiners for Last 1 Month card, click the Add button. The form appears.

  2. In the Employee Name text box, enter the employee name.

  3. In the Employee Number text box, enter the employee ID.

  4. From the Date Of Joining dropdown calendar, select the relevant date.

  5. From the Location dropdown list, select the relevant location.

  6. In the Email Id text box, enter the employeeโ€™s email address.

  7. Click Save to add the details. The onboarding process starts and the employee receives a welcome email with the link to set the password.

Add details of a resigned employee

To add details of a resigned employee, perform the following actions:

  1. On the Overview page, on the Resigned Employees for Last 1 Month card, click the Add button. The form appears.

  2. From the select an employee search box, enter the employee number or name for whom you want to add the information.

  3. Click the v arrow on the Resignation Details section to enter the relevant information.

  4. From the Resignation Submitted On dropdown calendar, select the date the employee applied for resignation.

  5. From the Reason For Leaving dropdown list, select the employeeโ€™s reason for leaving the organization.

  6. In the Notice Period text box, enter the employeeโ€™s notice period.

  7. From the Tentative Leaving Date dropdown calendar, select the required date.

  8. In the Remarks text box, enter the remarks, if any.

  9. Click the v arrow on the Exit Details section to enter the relevant information.

  10. From the Interview Date dropdown calendar, select the relevant date.

  11. In the Notes text box, enter the notes, if any.

  12. From the Leaving Date dropdown calendar, enter the relevant date.

  13. From the Settled On dropdown calendar, select the date on which the full and final settlement is complete.

  14. Select the Employee has left the organization checkbox if the employee has left the organization.

  15. Select the Notice Served checkbox if the employee has completed serving the notice period.

  16. Select the Fit to be rehired checkbox if you would like to rehire the employee in the future.

  17. Click Save to add the details.

Note:

  • The Exit Details section is updated after the employee leaves the organization.

  • You can also update the resignation details of the employees on the Separation page.
